Office Administrator & Quickbooks Bookkeeper Location Irvine, CA :

McClain Cellars Brands is looking to hire an administrative assistant who has excellent accounting skills in Quickbooks and is able to manage tasks that include product ordering, office support, customer support, and other administrative and accounting duties. In short, we are looking for someone who is quick to adapt to changes and has strong experience in working in Quickbooks, Google Suites, MS Office, can type fast, and is able to not only engage with customers but handle our guests with a smile. A strong understanding of wine is a plus. Knowledge of alcohol compliance tasks is a major plus.

This position will work from our corporate office and warehouse in Irvine, CA.

Position Responsibilities:

· Answer phones and return voicemails for company phone directory

· Provide every guest with an exceptional experience. Deliver the highest level of service to every guest to make their visit memorable and enjoyable

· Assist with customer support for all of the McClain Cellars brands

· Support the Operations & Hospitality teams, as needed, with company events

· Assist with the quarterly shipping (and pickup) of wine club allocation orders and work the quarterly wine club pickup party (usually the 2nd Saturday in March, June, September, and December)

· Maintain an accurate count at all times of inventory in the warehouse and record all transfers of inventory to other locations in our inventory software

· Oversee the usage of the company van - ensure that employees use the check-in/out log and that the van is consistently cleaned and serviced

· Carry ~ 45lb cases of wine

· Assist with any other administrative and operational duties as assigned by the CEO

The position is hourly, Monday - Friday 9:00 am - 5:00 pm and occasional weekend work is required.

The Ideal Candidate will be required to:

• Have EXTENSIVE EXperience using Google Suites / Workspace Applications
• Have experience with Quickbooks
• Have experience working with Inventories.
• Have experience shipping products and working with shipping tools like Shipstation.
• Have EXTENSIVE experience working with Mac Computers. (We do not use PCs)
• Have Extensive experience using MS Excel and MS Word
• Type at least 45 WPM
• Have extensive Customer Support Experience
• Be very organized, a quick learner, and dedicated to hard work and show a true desire to improve and learn.
• Be detailed-oriented, process-friendly, and have the ability to work within tight timelines on multiple projects simultaneously
• Have excellent communication skills
• Self-directed and capable of working in a fast-paced environment.
• Excellent verbal/written communication, presentation, customer service, and analytical skills.
• Excellent References
• Have Knowledge of alcohol compliance tasks is a major plus.
