Job Description and Duties

Analyzes, reviews and keeps track of asset related transactions in the Financial Information System for California (FI$Cal) and Fleet Asset Management System (FAMS) for California Highway Patrol (CHP). Monitors and verifies daily transactions in Asset Management Modules and makes sure they are posted correctly. Updates the addition and disposal of equipment. Analyzes the different error reports from various sources, including but not limited to FI$Cal and FAMS. Researches independently and takes appropriate action to maintain accuracy. Keeps record of all financial transactions with all supporting documents for audit trail purposes. Reviews and analyzes transmittal receipts and update FI$Cal to reflect vehicle sales.

Responsible for monthly and year-end reconciliation for Asset Management Unit to ensure that all capital assets activities are captured and posted correctly and accurately. Prepares adjusting entries as needed. Assists and works closely with the General Ledger team during the month-end and year-end closing activities in FI$Cal. Those activities include running processes, reports, queries and doing various reconciliations using FI$Cal. Assists in researching and identifying reconciling items between Asset Management Module and FI$Cal. Prepares and generates various management and Office of Primary Interest standard reports. Prepares Asset Management reports (i.e., Report 18) and ensures their accuracy and completeness.

Creates and maintains good and professional relationships with staff, area offices and external customers. Serves as a liaison between various state agencies including but not limited to Department of General Services, FI$Cal, and the State Controller's Office. Provides assistance to internal and external auditors during the audit process.

Maintains and develops the desk procedures, policies. Assists in adapting and implementing policy and procedures. Provides training to staff and area offices as needed. Follows departmental procedures, policies, State Administrative Manual, Federal and Local Government policies to ensure adequate accounting controls are in place to safeguard the Department's assets and ensures inventory amounts are correctly reflected in the accounting records and year-end financial statements.
